Sponsored: The smartest hardware hacks for a meeting room

Like it or not, more and more meetings are being held remotely. An important question is therefore how to make a meeting room digital in a smart way. Instead of using all kinds of expensive equipment, you can put together the smartest meeting room in the office by cleverly combining a number of products. ATEN offers many of the products with which you can realize smart and user-friendly solutions.

Below we show three examples of meeting rooms. The first is a simple solution, the second a bit more extensive and the third offers the most professional functionality.

1.       Meeting Room S

If you are looking for a smart way to create a digital conference room, you can choose to place a good USB camera in a central place in the room. Consider, for example, the Poly P15, a USB camera that is also perfectly suited to use for meetings with a smaller group of people. In a conference room you want to be able to use this camera with multiple computers. By linking the camera to an ATEN US3344i hub switch, this is perfectly possible.

The ATEN US3344i is both a hub and a switch. For example, it offers the possibility to connect four computers, which then each have access to four USB 3.2 devices. A first PC can be a mini PC that is neatly concealed and always ready on site; ideal to start any meeting with. When access to a laptop is required afterwards, you always have three ports left. Because meeting rooms are generally larger spaces, it is not always possible to achieve an elegant solution with, for example, a PC in the corner and the camera in a good position to visualize the room.

ATEN also offers a smart solution for this. USB cables can be up to three meters long and that can be limiting if you want to keep the equipment out of sight. The UE3315A is a fifteen meter long (!) cable that offers the possibility to place equipment at a distance; for example, he can walk to the conference table. In this way a laptop can easily be connected.

2.       Meeting Room M

If you want a little more smart functionality, you can take the next step to make your meeting room even more functional. In that case, you can choose to use that smart USB camera again, but this time to combine it with a monitor or projector. That gives a slightly better overview when you meet together.

Here too, ATEN offers smart solutions. The spider in the web is the CS1824, a KVM switch that offers a lot of functionality. You can connect it to the monitor or beamer and then connect it to a number of different image sources. For example, a laptop on the conference table, a touchscreen or a mini PC that can serve as a central computer in the conference room.

It becomes even easier if you also add a Barco Clickshare CX30, for example. This is a smart USB dongle that you can attach to almost any computer and connect it to the switch with the push of a button. On the front of the switch you will find four buttons; by pressing it, you can switch between the up to four connected sources.

You can also pair the CS1824 with an external audio adapter and connect it to speakers, or connect it directly to speakers with a USB connection and internal amplifier. This means that all connected devices have direct access to the audio system in the conference room.

3.       Meeting Room XL

Meeting room M lays the foundation for an excellent meeting experience. However, if you want to go a step further, it is smart to look at the VP1421 from ATEN. This 4k presentation matrix switch offers the possibility to seamlessly connect all kinds of sources. The strength of this product lies in the support of HDBaseT, which allows you to send all necessary signals over a large distance via one Ethernet cable: USB, video, audio, serial control and even power. The advantage is that the source does not have to be close to the VP1421. After all, you only need one cable and an Ethernet cable can easily be concealed.

This matrix switch can be perfectly combined with the VK1100 Control System. This is a compact box with which you can easily control all kinds of different devices via infrared. In this way you can centrally control a Blu-ray player, a projector and even curtains. This gives you full control over the automation of your meeting room.

The HDBaseT technology is therefore ideally suited to bridge large distances without creating a tangle of cables. To make your meeting room look as sleek as possible, the ATEN VE2812AEUT is also used, a wallplate that is connected to your VP1421 presentation switch via a single Ethernet cable. This can be nicely integrated into the wall or on a conference table and gives you direct access to the necessary ports to connect your laptop. As soon as you connect your laptop to it, it automatically switches to the new source to make everything run as smoothly as possible.
